In short
- Prepaid packs fix your cost up front. Monthly seats follow your intake.
- Among the platforms we reviewed, most sell prepaid accounts with a validity window and state that sales are non-refundable.
- ScoreFluent is the monthly option: 2-seat minimum, no fixed term, reduce seats at renewal, cancel any time.
- Which model suits you depends on how your students arrive and leave.
Two billing models are common for institute exam-prep software. You can buy student accounts in a block, or pay each month for the seats you use. This page explains both and shows what the vendors we reviewed publish.
It is written by the ScoreFluent team. ScoreFluent uses the monthly model, so read our view with that in mind. We do not give price figures for any vendor.
The two models
Prepaid student packs. You buy a number of accounts, or a block of access, in advance. Each account has a validity period. The period may run from purchase, from first use or from assignment. When it ends, the account stops working unless you buy more.
Monthly per-seat billing. You pay each month for each seat. A seat is held by one student or teacher. You add seats when a cohort starts and remove them when it ends.
Both can work well. The difference is who carries the risk of an unused account.
What changes for an institute
| Question | Prepaid packs | Monthly seats |
|---|---|---|
| Cash flow | One larger payment up front. Easy to budget for a known cohort. | Smaller payments that rise and fall with your seat count. |
| Intake seasonality | You buy ahead of a peak. A quiet month still has a cost if accounts are already paid for. | You add seats for a peak and remove them after. Reductions apply at the next renewal. |
| Unused accounts | An unused account may expire at the end of its validity window. Some vendors say credits do not expire. | An unused seat keeps billing until you reduce it at renewal. |
| Students who finish early | The account is already paid for. You may reassign it, if the vendor allows. | You reduce the seat at renewal. |
| Refunds and changes | Several vendors state sales are final and packages cannot be changed. | You can stop at the next renewal. Check what the vendor says about the part of a month already paid. |
| Minimums | Often 5 to 10 accounts where stated. | Can be small. ScoreFluent has a 2-seat minimum. |
| Getting started | Often a quote or a demo first. | Can be done online without a call, depending on the vendor. |

Two vendors in our wider review are not in this table. Language Academy and PTE Magic do not publish billing terms for institutes on the pages we read.
Where each model suits an institute
Prepaid packs may suit you if:
- You run fixed cohorts with a known start and end date.
- You want one payment and a fixed cost for the term.
- You already know how many students you will enrol.
- You value credits that never expire, or a long validity window. Check which vendors offer them.
Monthly seats may suit you if:
- Students join and leave all year.
- Your intake peaks at certain times and falls in between.
- You want to start with a small group and grow.
- You prefer to change seats yourself, without raising a request.
- You want to avoid a fixed term.
Check either way:
- What starts the validity clock.
- Whether an unused account can be reassigned.
- What the terms say about cancelling and about the part of a period already paid.
How ScoreFluent bills institutes
- Per seat, per month. Pick Basic, Standard or Intensive. The price per seat is the same at any size. Over 50 students, ask for a custom quote. Prices are published in your currency on the institutes page.
- Minimum 2 seats. That is you plus one teacher. Admin and teacher invites count as seats.
- Fully self-serve. Create the institute portal online. There is a 15-day free trial with 5 seats and no card. No sales call.
- Change seats yourself. Increases apply at once and are prorated. Decreases take effect at the next renewal.
- Cancel any time from your billing portal. Access continues to the end of the paid month. There are no penalties.
- All 7 exams in one seat, with future exams included. Practice is unlimited, subject to fair use.
We do not say monthly billing costs less than prepaid packs. That depends on how many seats you hold and for how long. Work it out with the prices on each vendor's page, and ask prepaid vendors for a written quote.
Common questions
What is the difference between monthly seats and prepaid student packs? With monthly seats you pay each month for the students and teachers who have a seat, and you can change the number at renewal. With prepaid packs you buy a block of student accounts up front, and each account is valid for a set period.
What happens to unused prepaid accounts? It depends on the vendor. Some prepaid plans state a validity window of 30 days to a year. Others say purchased credits do not expire. Read the validity terms before you buy, and ask what starts the clock.
Does ScoreFluent have a minimum? Yes. The minimum is 2 seats, which is you plus one teacher. There is no fixed term and no prepaid pack.
Can an institute cancel ScoreFluent at any time? Yes. You cancel from your own billing portal. Access continues to the end of the paid month. There are no penalties.
Which billing model is better for an institute? Neither is better in every case. Prepaid packs can suit a fixed cohort with a known start and end. Monthly seats can suit institutes with rolling intakes, seasonal peaks or a wish to start small.
